The Difference Between Data Controllers and Processors

  • Data Controller: We act as the Controller for the information you provide when booking a tour or applying for a job. We decide how and why your data is used.
  • Data Processor: We use third-party experts to help us manage our business. For example, Cornthwaite & Co acts as our Data Processor for payroll and accounting. We have formal agreements with all processors to ensure your data remains safe.

Information We Collect

To provide our services safely and legally, we collect:

  • Contact Details: Name, email, phone number, and address.
  • Safety Information: Age, height, and clothing sizes (to provide the correct equipment).
  • Health Data (Optional): We may collect “Special Category” data regarding medical conditions (e.g., allergies, mobility issues) strictly for your safety during activities.
  • Staff Data: Social Security numbers, tax codes (ITIS), bank details, and qualifications for payroll and employment law purposes.

Sharing Your Information

We do not sell your data. We only share it with:

  • Professional Advisors: Specifically, Cornthwaite & Co for payroll and financial accounting.
  • National Governing Bodies: Such as British Canoeing Awarding Body (BCAB) (only for certificated courses).
  • Emergency Services: If required during an incident.
  • Software Providers: Our booking system (Bookeo) and secure cloud storage (Dropbox).

International Transfers

We use secure cloud services (such as Dropbox and WhatsApp) to coordinate bookings and business management. These services may store data on servers outside the British Islands. Where this occurs, we ensure that “Standard Contractual Clauses” or other approved safeguards are in place to protect your privacy.

Data Retention

We keep your data only as long as necessary:

  • Customer Bookings: Generally deleted 2 years after your last contact unless required for insurance purposes.
  • Payroll & Tax Records: Retained for 6 years to comply with the Income Tax (Jersey) Law 1961.
  • Health/Medical Info: Deleted 2 years after your activity unless an incident occurred.

Cookies and Tracking Technologies

Our websites use “cookies” to improve your experience and analyse our traffic.

  • Strictly Necessary Cookies: These are essential for the website to function, such as the cookies used by our booking platform (Bookeo) to remember your session and process your booking. These do not require your consent.
